Cancellation, Refund, Credit & General Policies

BrainSTEM Learning Canada Corp. (“BrainSTEM”) understands that plans can change. The following policies are intended to provide families with clear and consistent information regarding cancellations, refunds, credits, rescheduling, and program changes.

Cancellations, Refunds & Credits

More Than 14 Days Before the Program Start Date: Cancellations received more than 14 days before the scheduled start date are eligible for a refund, less a 15% administration fee plus applicable taxes. Camps are tax-exempt; therefore, only the 15% administration fee applies.

Within 14 Days of the Program Start Date: Refunds are not provided for cancellations made within 14 days of the scheduled start date, except where participation is prevented for documented medical reasons. Appropriate medical documentation may be required.

After a Program Has Started: Once a class, camp, or program series has begun, refunds are not provided. Where appropriate, the remaining applicable value may be issued as an account credit toward a future eligible BrainSTEM program.

Rescheduling: Requests to change class or camp dates due to scheduling conflicts, illness, or similar circumstances are treated as rescheduling rather than cancellation, subject to availability and BrainSTEM approval. No cancellation administration fee applies, and the applicable registration value will be transferred or issued as an account credit.

Payments More Than 90 Days Old

If a cancellation otherwise qualifies for a refund, but the original payment was processed more than 90 days before the cancellation request, the refundable amount will be issued as an account credit toward a future eligible BrainSTEM program.

This 90-day period is based on the original payment date, not the amount of time remaining before the program begins.

Registration & Class Size

Registration does not guarantee a particular class size or minimum number of participants. Classes held at a BrainSTEM facility may proceed with only one registered student.

Program, Schedule & Venue Changes

BrainSTEM makes reasonable efforts to deliver programs as scheduled and advertised. However, BrainSTEM may reschedule, relocate, modify, combine, suspend, or cancel a program where reasonably necessary due to enrolment levels, instructor or facility availability, severe weather, safety concerns, public-health emergencies, epidemics or pandemics (including COVID-19 or similar events), government or public-health requirements, natural disasters, transportation disruptions, or other circumstances beyond BrainSTEM’s reasonable control.

BrainSTEM will make reasonable efforts to notify affected families of material changes as soon as practicable and, where possible, provide an appropriate alternative such as rescheduling, relocation, transfer, or account credit.

For programs held at rented or third-party venues, BrainSTEM may relocate the program to a BrainSTEM facility or another suitable location if minimum registration is not met or the original venue becomes unavailable.

If BrainSTEM cancels a program and cannot provide a reasonable alternative, BrainSTEM will provide the refund, credit, or other remedy required under applicable law.

Transportation Following a Venue Change

If an off-site program is relocated, BrainSTEM may offer transportation between the originally scheduled venue and the replacement venue. Transportation will only be provided with the required parent or legal guardian authorization.

If transportation is not authorized, BrainSTEM will make reasonable efforts to provide an alternative arrangement. If an appropriate alternative is unavailable, the registration will be treated as a rescheduling rather than a cancellation. No cancellation administration fee will apply, and the applicable registration value will be issued as an account credit.

Account Credits

Account credits may be applied toward eligible future BrainSTEM programs, subject to availability and applicable terms. Credits have no cash value and are not redeemable for cash except where required by law.

Acknowledgement & Agreement

By submitting or signing the registration form, the parent, guardian, or registrant confirms that they have reviewed and agreed to the applicable program information, policies, waivers, consent forms, and release agreements provided or expressly incorporated into the registration process.

For participants under the age of majority, the person completing the registration confirms that they are the participant’s parent or legal guardian, or otherwise have the legal authority to provide the required consents on the participant’s behalf.

Nothing in these policies is intended to exclude, restrict, or waive any rights or remedies that cannot lawfully be excluded, restricted, or waived.
